docuteam context 1.17​

These release notes cover new features and improvements in 1.17 and also include those from 1.16.x. Versions 1.16.x were not published.

Overview​

This release introduces new ways to link records and adds a new Info Menu that provides easier access to documentation and system information. It includes improvements to forms and search results, bug fixes (among them unexpected reloads of forms), improvements to security, and changes to installation and operation.

New and improved relations​

  • The hasRecord relation allows records to be linked to other records, for example to describe versions, copies, references, replacements or supplements.
  • The hasAgent relation supports two additional relators:
    • accumulator: RecordResource —hasAgent[accumulator]→ Agent
    • accessionDonor: Accession —hasAgent[accessionDonor]→ Agent
  • For instantiations, the location name and location reference can be displayed in the form title. In this release, this feature supports hasPlace relations with a fixed relator; it does not generally apply to arbitrary linked entities.

Info Menu and user interface​

  • The new Info Menu provides direct access to user documentation and version information, and displays the system status.
  • Records without a title receive a translated fallback title in search results and remain accessible through that title.
  • The Links view displays correctly labelled columns for referenceCode, unitTitle, refCodeAdmin and id for Record Resources. The title and technical ID link to the corresponding entry.
  • Forms marked as default are taken into account when selecting forms for additional entity types. Forms can also be designated as the "default form" in the user interface.
  • Accessibility: icon-only actions receive descriptive tooltips.

Bug fixes​

  • Forms are no longer unexpectedly reloaded in full while being edited, which previously discarded all changes already entered. The cause was a failed request to the authentication service. Authentication is now verified locally, which should significantly reduce this problem.
  • Using the copyrightHolder relator in a hasAgent relation between Record Resources and Agents no longer causes an error in a Record Resource form.
  • The "Date" column in search results displays the content of date rather than replacing it with a date range calculated from from and to.
  • After switching forms, combo boxes that reference lists display the available values again.
  • Form validation handles combo boxes without lists.
  • The setup script profiles/setup-archive.sh processes archives individually rather than processing all archives simultaneously, avoiding errors caused by simultaneous processing.

Security​

We have further improved the security and authentication of Context: authentication is verified more efficiently and robustly, access to the new configuration endpoints is protected, logging has been made more secure, and security-related dependencies have been updated.

Installation and operation​

  • The Health Check API and a system endpoint provide the system status, release information and system details.
  • We are gradually preparing Context for installation using Kubernetes. A shared base configuration is supplemented by provider-specific configuration.
  • Declarative configuration (see also 1.15) can now also manage forms, rules, enumerations and concept schemes.
  • A new API endpoint copies an archive on the same server, optionally with filters. Existing copies are updated when the operation is run again. This functionality is available through the API only, not in the user interface.

Upgrade notes​

For customers using Sirius, this release requires a compatible Indexer release.

Data model changes​

  • The following relations have been renamed for consistency: hasAgents → hasAgent, hasConcepts → hasConcept.
  • The following form property has been renamed for clarity: default → isDefault.

Existing archives are updated automatically through database migrations.

docuteam context 1.15​

Extension of relations​

  • Two relations between the same entities can now differ only in terms of their relators.

This now makes it possible, for example, to note that a person has both created and published a document. To do this, the two entities can now be linked using two hasAgent relations: one with the relator origination and one with publisher. Previously, only one of these connections could be recorded, or we had to create entirely new types of relations for this purpose.

  • Locations already have a Box View, so it is immediately clear which documents are stored there. Locations now also have a Links View, so that the entities linked to them – such as actors or concepts – are visible.
  • Locations are now also displayed in the Links View, alongside linked actors, places, concepts and accessions.

Automated initial installations​

  • We have created a way to automatically set up new archives in the near future via a decorative system configuration. This will simplify the management of our cloud and prevent errors.

Updated codebase​

  • We have updated the GraphQL library that powers our data model to the latest version. This improves stability and performance, and has enabled us to extend the relationships.
  • We have updated other underlying libraries to maintain a high level of stability and security.

Bug fixes​

  • The signature of a record is now displayed in the title of a form without any ‘null’ text.
  • The CNF/CSV export no longer contains any superfluous spaces, which had been causing difficulties during further processing.
  • The ‘request entity too large’ error, which could occur when saving a large record, has been fixed.
  • The preview of documents saved as attachments now works again.

Further improvements​

  • The logic for displaying warnings regarding set access restrictions periods has been re-implemented, and the warning texts have been revised.
  • Swedish translations have been improved.
  • The language selection now displays the name of a language in that language itself.

docuteam context 1.14​

Download DIP from box​

  • You may now download a DIP for any digital object or folder of objects in docuteam box directly from within context.
  • Only administrators and editors may download DIPs. Readers may not.
  • For this to work, docuteam needs to configure the box connection for you.

Notes:

  • With the current implementation, no progress bar will be shown while the download runs. Be patient until it has concluded.

Design fine-tuning​

  • We have temporarily removed “Dark mode” as it’s currently broken.
  • We’ve fine-tuned the latest design changes.
    • The currently selected element in a list is now highlighted, e.g. in the list of agents or locations.
    • Icons, texts, various design elements now appear more consistently throughout the app.
    • Alignments between text and form elements have been fixed.

Updated user documentation​

We’re updating our user documentation “Using context”:

  • We’ve included several changes since version 1.6, which previously weren’t documented, and we’re using up-to-date screenshots.
  • The user documentation is now also available in French.

Some of the lesser used features of docuteam context are missing still. This is an ongoing effort, though: we plan to complete the documentation in the coming months.

Customer requests​

We’ve fixed a number of bugs and implemented improvements that having been reported by customers:

  • When linking to a location, you may now also search for it in the form field. Previously, if you wanted to link to a specific box, you could only select it from a possibly very large list of boxes.
  • When editing some records, you would get many warnings regarding access restrictions. This has been fixed.
  • When exporting to EAD, you could get an internal error due to an invalid character. This has been fixed.

Other improvements​

  • Security: We’re continuously and regularly investing in the security of our apps. In this release, we’ve updated a couple of code libraries to ensure we get the latest security fixes there.

docuteam context 1.13​

General​

  • For customers using attachments, we’re now backing up attachments in their S3 buckets.
  • We’ve added an English translation of “Using context” in our documentation. Improved documentation remains a focus.

New forms design​

  • We’ve have redesigned our forms to be less minimalistic in order to improve legibility and orientation.
  • Form fields now feature a background color and are clearly grouped with their label.
  • Texts and labels are more legible now and use the same font sizes everywhere.
  • Buttons have a less dominant, more uniform look.
  • Help texts, if available, are located next to the label and are hidden behind a small “(i)” icon.
  • This design changes also affect other areas such as search fields. We will continue to fine-tune the design in the next release, and we plan to rework multi-value fields as well.

Searching for records​

All fields of a record in search results

  • You can now show all fields of a record resource in the search results by selecting them in the new “Columns” button (“Spalten”).
  • When exporting to Excel, all selected fields are exported as well.
  • Sort and filter options are more easily accessible in the toolbar of the search results table.
  • You can also sort by a specific column by clicking on its title. If you’re using the sort options button, you can have use more than one sort criteria (e.g. sort by title, then by signature).
  • If you’ve changed the sorting or applied a filter, visual markers are shown on the corresponding button in the toolbar, so that it’s clear that there’s an active sort or filter option.
  • We will continue to improve search by providing dedicated search fields and means to search for additional fields as well.

Searching for records​

  • We’ve increased the default width of the “title” column in search results as it is the most common field used.
  • Fixed a bug in search, which caused the the filter field in the list of search results (“In allen Spalten suchen”) to not be functional.

General​

  • Performance: entities with relations to many other entities and records with many descendants no longer cause performance issues. Opening and searching lists with many entries is very fast now.
  • Fixed a security issue that has been found in review.
  • Bug fixes and improvements (e.g. for help texts and text areas).

Record archival material​

  • Attachments viewer: Attachments of a record resource can now be opened in a viewer to quickly review images, videos or PDFs.
  • Data model additions: we’ve added many properties and relations between record resource or their instantiations and agents, places, locations, concepts and accessions.

Searching for Records​

  • Search improvements: search is more robust and is sensitive to the main language of your archive.

Form definitions​

  • Form titles: we now support titles also in instantiation forms for a better overview.
  • Arbitrary titles from form fields as well as the name of the form can be used in titles.
  • "Today": today’s date can now be filled in form fields.

  • Increased performance: Saving a record resource is now considerably faster.
  • Swedish is now available as an additional language.

Record archival material​

  • Attachments: We now support attachments for record resources. Images, videos and PDF documents can be added to a record for illustration purposes (only).
    • Attachments may be added, downloaded and deleted.
    • A gallery shows previews of all attachments of a record.
  • Accessions: We now support accessions to track new deliveries of documents to be added to an archive.
    • Accessions are captured using our flexible form definitions and may thus be modelled according to an archive’s need.
    • Record resources may be linked with one or several accessions.

Form definitions​

  • Fixed a bug that caused the editor for forms and lists to cease working on smaller windows.

General​

  • Increased performance: Forms for records linking to many agents are fast now due to client-side caching of API calls.
  • Security: We’ve switched to the latest version of our authentication server to keep our logins safe.
  • Additional bug fixes and improvements based on feedback from docuteam archivists and customers - thank you!

Record archival material​

  • Fixed a bug that allowed users with read-only access to import records.
  • Fixed a bug where removed relations where not deleted when saving a form.

Integrating systems and workflows​

  • Connect with box: A new form field connects a record resource with a digital object in docuteam box.
  • CSV import: We now support imports of record resources from CSV through our CNF/CSV format.

General​

  • Various bug fixes and improvements based on feedback from docuteam archivists and customers - thank you!

Display of archival material​

  • Links View: This shows all links between entries, for example between records and authoritative data. Such lists can be sorted, filtered and exported to Excel for further processing.
  • Instances are displayed in a second column for a better overview and faster access.
  • The header area with title and the menu can be designed differently for each archive.
  • Icons and buttons have been graphically revised and standardised.

Form definitions​

  • A web rich with information: We support numerous new relations („links“) and relation types between entries.
  • Form titles: Meaningful titles for entries can be defined based on values in forms.

docuteam context 1.5​

Available since: September 2024

General​

  • Fixed a small set of medium and low risk security issues detected during a security review.
  • Several bugs have been fixed, among these bugs related to the tree, and relations between places are now properly saved again.

Record archival material​

  • You may now add the initial record of an otherwise empty archive. A check is done if a record resource form exists or if you have to add that first.

Manage locations​

  • See a list of records stored in a particular location. This new view, recognizable by the "box" icon, can be used to control the contents of boxes recorded as locations.

Searching for Records​

  • Search for record resources created or updated within a specific date range.

Integrating systems and workflows​

  • Record resources can now be imported from CNF/JSON format (details see below).
  • Reference codes are now exported even if their visibility is set to "false".
  • The automated migration of data in the database is more robust.

Features and limits of the import feature​

We import all data of one or several records (record resources), all their instantiations and their locations, as well as the directly connected authority data (agents, places and concepts). Depending on an option you may pick before the import starts, missing authority data will be added or leads to an import failure. The same applied to rules. The forms and lists referred to in the import file, however, have to exist already or else the import will abort.

  • Internal improvements in storage and calculation of reference codes
