docuteam context 1.13​

General​

  • For customers using attachments, we’re now backing up attachments in their S3 buckets.
  • We’ve added an English translation of “Using context” in our documentation. Improved documentation remains a focus.

New forms design​

  • We’ve have redesigned our forms to be less minimalistic in order to improve legibility and orientation.
  • Form fields now feature a background color and are clearly grouped with their label.
  • Texts and labels are more legible now and use the same font sizes everywhere.
  • Buttons have a less dominant, more uniform look.
  • Help texts, if available, are located next to the label and are hidden behind a small “(i)” icon.
  • This design changes also affect other areas such as search fields. We will continue to fine-tune the design in the next release, and we plan to rework multi-value fields as well.

Searching for records​

All fields of a record in search results

  • You can now show all fields of a record resource in the search results by selecting them in the new “Columns” button (“Spalten”).
  • When exporting to Excel, all selected fields are exported as well.
  • Sort and filter options are more easily accessible in the toolbar of the search results table.
  • You can also sort by a specific column by clicking on its title. If you’re using the sort options button, you can have use more than one sort criteria (e.g. sort by title, then by signature).
  • If you’ve changed the sorting or applied a filter, visual markers are shown on the corresponding button in the toolbar, so that it’s clear that there’s an active sort or filter option.
  • We will continue to improve search by providing dedicated search fields and means to search for additional fields as well.

Searching for records​

  • We’ve increased the default width of the “title” column in search results as it is the most common field used.
  • Fixed a bug in search, which caused the the filter field in the list of search results (“In allen Spalten suchen”) to not be functional.

General​

  • Performance: entities with relations to many other entities and records with many descendants no longer cause performance issues. Opening and searching lists with many entries is very fast now.
  • Fixed a security issue that has been found in review.
  • Bug fixes and improvements (e.g. for help texts and text areas).

Record archival material​

  • Attachments viewer: Attachments of a record resource can now be opened in a viewer to quickly review images, videos or PDFs.
  • Data model additions: we’ve added many properties and relations between record resource or their instantiations and agents, places, locations, concepts and accessions.

Searching for Records​

  • Search improvements: search is more robust and is sensitive to the main language of your archive.

Form definitions​

  • Form titles: we now support titles also in instantiation forms for a better overview.
  • Arbitrary titles from form fields as well as the name of the form can be used in titles.
  • "Today": today’s date can now be filled in form fields.

  • Increased performance: Saving a record resource is now considerably faster.
  • Swedish is now available as an additional language.
  • Additional bug fixes and improvements based on feedback from docuteam archivists and customers - thank you!

Record archival material​

  • Attachments: We now support attachments for record resources. Images, videos and PDF documents can be added to a record for illustration purposes (only).
    • Attachments may be added, downloaded and deleted.
    • A gallery shows previews of all attachments of a record.
  • Accessions: We now support accessions to track new deliveries of documents to be added to an archive.
    • Accessions are captured using our flexible form definitions and may thus be modelled according to an archive’s need.
    • Record resources may be linked with one or several accessions.

Form definitions​

  • Fixed a bug that caused the editor for forms and lists to cease working on smaller windows.

General​

  • Increased performance: Forms for records linking to many agents are fast now due to client-side caching of API calls.
  • Security: We’ve switched to the latest version of our authentication server to keep our logins safe.
  • Additional bug fixes and improvements based on feedback from docuteam archivists and customers - thank you!

Record archival material​

  • Fixed a bug that allowed users with read-only access to import records.
  • Fixed a bug where removed relations where not deleted when saving a form.

Integrating systems and workflows​

  • Connect with box: A new form field connects a record resource with a digital object in docuteam box.
  • CSV import: We now support imports of record resources from CSV through our CNF/CSV format.

General​

  • Various bug fixes and improvements based on feedback from docuteam archivists and customers - thank you!

Display of archival material​

  • Links View: This shows all links between entries, for example between records and authoritative data. Such lists can be sorted, filtered and exported to Excel for further processing.
  • Instances are displayed in a second column for a better overview and faster access.
  • The header area with title and the menu can be designed differently for each archive.
  • Icons and buttons have been graphically revised and standardised.

Form definitions​

  • A web rich with information: We support numerous new relations („links“) and relation types between entries.
  • Form titles: Meaningful titles for entries can be defined based on values in forms.

Available since: September 2024

General​

  • Fixed a small set of medium and low risk security issues detected during a security review.
  • Several bugs have been fixed, among these bugs related to the tree, and relations between places are now properly saved again.

Record archival material​

  • You may now add the initial record of an otherwise empty archive. A check is done if a record resource form exists or if you have to add that first.

Manage locations​

  • See a list of records stored in a particular location. This new view, recognizable by the "box" icon, can be used to control the contents of boxes recorded as locations.

Searching for Records​

  • Search for record resources created or updated within a specific date range.

Integrating systems and workflows​

  • Record resources can now be imported from CNF/JSON format (details see below).
  • Reference codes are now exported even if their visibility is set to "false".
  • The automated migration of data in the database is more robust.

Features and limits of the import feature​

We import all data of one or several records (record resources), all their instantiations and their locations, as well as the directly connected authority data (agents, places and concepts). Depending on an option you may pick before the import starts, missing authority data will be added or leads to an import failure. The same applied to rules. The forms and lists referred to in the import file, however, have to exist already or else the import will abort.

  • Internal improvements in storage and calculation of reference codes
  • Adjustments in EAD/RDF export based on the reference code changes in this release
  • Performance tests with version 1.2 using large, realistic data to identify possible bottlenecks in larger archives
