Search and reports
Access to search and creating reports
The menu on the left offers a global search function, in addition to direct access to records and authority data.
With search, descriptions can primarily be searched by any text and across fields.

Search also supports more complex queries in the Lucene query language that can combine different fields and sort by them. To query specific fields, you need to know the internal names of the individual fields, such as scopeContent for "Scope and content". These names are visible, for example, in the JSON export view, which can be opened via the Export button.
A result list can then be further narrowed down with filters and finally exported as a report in Excel format for further processing.

One way to filter is to use the two fields labelled Last time changed, located to the left of the search bar. Here, the search results can be limited to results that were last edited within a specific time period.
The buttons Columns, Sort and Filter are also available. In Columns, you can select the fields of the elements that should be displayed in the search results. These columns are also transferred to the report, which can be exported to Excel.
With Sort, you can select columns to be sorted as 1st, 2nd, 3rd, etc. The sort direction is reversed by clicking the same column a second time.
Sorting can also be triggered directly by clicking a column header.
With Filter, you can filter the results according to up to two specifications for the contents of individual columns. Here, several specifications can also be linked with logical operators.
Search is as central as the flexible data model
For docuteam context, search is a functionality that decisively shapes the app’s high flexibility and its seamless use in existing workflows.
We consider search to be similarly important as the flexible yet always standards‑compliant data model, which we keep adaptable through configurable forms.
We therefore place great emphasis on continuously expanding it, with the goal that reports and overviews can be easily created, exported in different formats, and further processed in external systems. In the future, search will also be the starting point for PDF reports and bulk updates.
Currently, there is no dedicated search for locations, agents, places, and concepts. However, the filter offered in the lists already allows you to search for character strings within the titles of these entities.
